Data Deletion &
Management Policy
Soontra gives users and workspace administrators controls to disconnect integrations, delete uploaded assets, and request deletion of account or workspace data. This policy explains those controls and should be read together with Soontra's Privacy Policy and Terms of Service.
Table of Contents
Disconnecting Connected Analytics Services
Workspace owners and admins can disconnect connected analytics services, including YouTube, TikTok, and Instagram, through Soontra settings where available.
When an integration is disconnected, Soontra stops future syncs and disables active use of that connection. Depending on the platform and integration, Soontra may revoke tokens, clear analytics caches, deactivate connection records, remove retained analytics rows, or retain limited records where needed for security, audit, troubleshooting, legal, billing, or platform-compliance purposes.
You can also revoke access directly through the connected platform where that platform provides controls:
YouTube and Google
Google Account security settings
TikTok
TikTok app or account permission settings
Instagram and Meta
Meta or Instagram app settings
Disconnecting Soontra does not delete your YouTube, TikTok, Instagram, Meta, or Google account, and it does not delete data stored by those platforms. To delete data held by a third-party platform, use that platform's own settings and deletion tools.
For YouTube and Google API user data, Soontra will delete stored user data you request us to delete as soon as possible and within 7 calendar days, subject to legal obligations and platform requirements.
Instagram and Meta Data Deletion Requests
If you remove Soontra's access through Meta or Instagram controls, Meta may send Soontra a deauthorization callback. If you request deletion through Meta or Instagram controls, Meta may send Soontra a data deletion callback.
When Soontra receives a valid signed Meta or Instagram deletion request, Soontra removes matching Instagram connection records and retained Instagram analytics rows associated with the matching account. If Meta provides a confirmation code or status link, you can use that information to confirm the request status.
Deleting Media Assets and AI Data
When you upload or import videos, images, audio, documents, or other files, Soontra may process those assets to provide product features. Depending on the file type and enabled features, Soontra may create derived data such as transcripts, visual descriptions, scene summaries, thumbnails, previews, OCR text, captions, embeddings, search indexes, moderation signals, AI summaries, and related metadata.
You may delete uploaded files through the Service where available, including from the File Manager or other file surfaces. When a file is deleted, Soontra removes the active file record and associated active searchable or indexed content maintained for that file. Soontra also attempts to remove the underlying file from cloud storage.
Deletion may be limited by backup, security, legal, moderation, billing, or technical requirements. Files or workspaces under moderation or legal review may be blocked from deletion until review is complete.
If a deleted file is linked to a project, folder, canvas, comment, AI result, or other workspace resource, Soontra removes or disables active references according to the product deletion flow.
Workspace and Account Deletion
Workspace owners can delete a workspace where the Service provides that option. Workspace deletion removes active workspace resources according to the product deletion flow, including workspace projects, files, members, settings, and associated workspace data, subject to ownership, last-workspace, billing, moderation, legal, backup, and technical limits.
If a member is removed from a workspace, they lose access to that workspace. Content they created inside the workspace may remain available to the workspace owner and authorized workspace members unless the content, project, or workspace is deleted.
You may request account deletion where the Service provides that option or by contacting Soontra. Account deletion may require verification and may be limited if you are the sole owner of a workspace with other members. Deleting an account removes the user profile and access credentials, but workspace-controlled content may remain under the workspace owner's control unless separately deleted.
Retention, Backups, and Records
Once a file, project, or workspace is deleted from active systems through the product deletion flow, it may not be recoverable.
Deleted data may remain for a limited period in backups, logs, security records, audit records, or disaster-recovery systems. These copies are retained only as reasonably necessary for security, legal compliance, platform compliance, abuse prevention, billing, dispute resolution, or reliable operation of the Service.
Billing and transaction records may be retained as required for tax, accounting, fraud-prevention, dispute, and legal purposes. Payment information is processed by Soontra's payment processor, Stripe, and Soontra does not store full credit or debit card numbers.
